Connecting your Microsoft OneDrive with the Content Library to Import Files
OneDrive is the Microsoft cloud service that lets you store and protect your files. With ClientPoint, you can integrate your Content Library with OneDrive to import and sync files from OneDrive into your ClientPoint Content Library. This is available for all users with the Administrator user role.
Your files in your OneDrive account once imported will then be available to add directly into the Files area of your ClientPoint.
You will first need to authorize ClientPoint to connect to your Work, School or Organization Microsoft OneDrive account. There are two authorization options for Administrators, see below for instructions.
1.) OAuth 2.0 user authorization
Each administrator will authenticate to their OneDrive corporate or account to access and import files and folders into the Content Library.
Here is how*:
Step 1: Log in to ClientPoint
Step 2: Go to Settings -> Integration -> Cloud Storage Integrations
Step 3: Click on Connect button in the Microsoft OneDrive option The administrator will be able to see a popup to connect with OAuth 2.0 authorization code flow.
Step 4: Select Connect
Step 5: Pick a Microsoft account listed
Step 6: Select Accept
*Each Administrator will go through these steps before they can import files from OneDrive to the Content Library.
2.) OAuth 2.0 company/organization authorization
This authentication method will utilize the company credentials vs. individual administrator credentials. Authentication via company credentials will provide all Administrators with access to the same drive folders and files and will be able to import files from OneDrive into the Content Library.
Here is how:
Step 1: Log in to ClientPoint
Step 2: Go to Settings -> Integration -> Cloud Storage Integrations
Step 3: Click on Connect button in the Microsoft OneDrive option
Step 4: Administrator will be able to see a popup to connect with OAuth 2.0 client credentials flow
Step 5: Add Tenant ID, Client ID, Client Secret (Where to find this information in Microsoft OneDrive?)
Step 6: Once the administrator adds credentials, On Step 2 they will see all of the organization drives.
Step 7: Selected Drive folder and files Administrator will be able to see when using option Import from one drive in Content Library.
Step 8: You’re done with the setup, see below to find out how to import files from OneDrive to ClientPoint.
Things to know:
- The following file types are supported with the OneDrive file import: doc,docx,ppt,pptx,xls,xlsx,pdf,tiff,png,jpg,jpeg,links,mp4,mov,avi,dv,qt,mpg,mpg2,mpeg2,mpeg4,m p4,3gp,3g2,asf,wmv,flv,m4v,tif,gif,bmp.
- Only Administrators are allowed to connect their OneDrive account.
- Only Work, School or Organization Microsoft OneDrive accounts are supported. Personal OneDrive accounts are not supported.
- Once a file is imported from OneDrive into ClientPoint, the file sync is one-directional from OneDrive to ClientPoint.
- Up to five (5) files can be imported at a time from OneDrive to the Content Library.
- There is a max file size of 500 MB, files larger than 500MB will not be imported. To add files over 500MB from OneDrive, please download and manually upload to your ClientPoint Content Library.
- Once a file is imported, the file will update once a day via auto-sync at 5:30 AM UTC.
- Daily sync of files imported from OneDrive will automatically update across all existing ClientPoints and Templates.
- For the daily file sync, the file format of each file in OneDrive and ClientPoint must be the same. For example, if the administrator has an excel sheet (xlsx format) and associates the file to a word document (docx format) the file will not remain synced between OneDrive and ClientPoint Content Library.
- Users can't change or local edit these files in the content library which all have been imported from OneDrive
- Single drive integration
- Drive only, sub folders not supported
How to import files from OneDrive into your ClientPoint Content Library
Have you connected OneDrive with ClientPoint? If not, click here for instructions. Once you have authenticated OneDrive to ClientPoint follow the instructions below to import files into your Content Library.
To import files from OneDrive, go to:
- Settings > Content Library > Files
- Click “Add to Library” and select “Add from OneDrive”
3. The Drive folder will load.
4. Select the files that you want to import into your ClientPoint Content Library
5. Click the blue “Select” button on the bottom left to import
6. File will be added into Company Wide, select the file to move into a Workspace, Division or subfolder.
How can Administrators sync existing files in their Content Library to files within OneDrive?
There's a feature in the Content Library to associate OneDrive/SharePoint files with existing files within the ClientPoint Content Library. You can find this option in Settings > Content Library > Files > More called "Associate OneDrive Files".
Administrators can use this feature to import an excel sheets containing existing Content Library file ID with OneDrive/SharePoint file path. Here is an example of the excel sheet:
Where can I find the file id?
A list of all files in your content library can be downloaded from Settings > Content Library > Files > More > Excel. The list will include the File ID along with other information about each file in your library. Please remove all columns excel for the file ID and add a column called "Sharepoint File Path".
In the SharePoint File Path, please populate the file path of the SharePoint file that will be synced with the file in the Content Library.
How to import your excel to associate the files to OneDrive/SharePoint
Go to Content Library > More
Administrator will see the Import Excel sheet. Below should be the format. One column must contain File ID and another column should be the path of the OneDrive file.
Things to know:
- Bulk association with OneDrive option if users try to import a sheet where we can't find SharePoint file path then internally our system save error logs however those logs are not visible to Administrator which files were failed to associate from one drive.
