Overview:
ClientPoint allows users to easily share custom-built ClientPoints with recipients, such as clients or prospects, through a single, convenient link. This link dynamically reflects any changes made to the ClientPoint, ensuring recipients always view the latest version without needing a new link. This guide provides step-by-step instructions on emailing a ClientPoint link, setting expiration dates, and following best practices for optimal delivery and client access.
Step-by-Step Guide to Emailing a ClientPoint Link
1. Prepare Your Email:
-
- Review the recipient's email address, subject line, and message body to ensure all information is accurate and personalized.
2. Set Link Expiration Date (Optional):
-
- Choose a date to automatically disable the link if you want to limit viewing access to a specific period. Options include 30, 45, 60, or 90 days.
- Note: After the expiration date, recipients will see a message informing them that the link has expired along with the representative’s contact information. The representative will also receive an email notification if the client attempts to access an expired link.
Note: Prospects/Clients who access the ClientPoint link after the disable date will receive an automated message informing them that the link has expired and the Rep's contact information. The assigned Rep will also receive an email notification that the Prospect/Client has tried to access the ClientPoint.
3. Send the Link Using Preferred Method:
- The Open Directly in Your Email option allows the email to open in your default email program (e.g., Outlook, Gmail), where you can send the ClientPoint directly. Alternatively, you can use the Send with Paperless or Copy to Clipboard methods (see below for tips on selecting the best option).
4. Send the Email from Your Inbox:
- Finalize and send the email through your chosen email program.
Tips for Sending ClientPoint Links
ClientPoint offers flexibility in how links are shared, ensuring recipients receive emails promptly and securely. Here are some best practices:
-
Use “Open Directly in Your Email” Option:
This option uses your email servers directly, increasing the likelihood of bypassing spam filters. The email opens in your default email program (Outlook, Mac Mail, etc.), allowing you to send directly from there while still marking the ClientPoint as sent. -
Copy to Clipboard Option:
If you prefer, you can copy the ClientPoint URL to your clipboard and manually paste it into a new email. Sending it this way also utilizes your own email server, enhancing delivery success. -
Whitelisting ClientPoint Domains:
Ask recipients to markclientpoint.net
andclientpoint.me
as safe senders or whitelist them to prevent emails from going to spam. -
Resend to an Alternative Email Address:
If a recipient does not receive the link, try sending it to an alternative email address to increase the likelihood of successful delivery.
Troubleshooting Delivery Issues
ClientPoint’s email service is designed for optimal delivery, but spam filters and security settings vary by recipient. If you experience delivery issues, consider these additional steps:
- Use the Copy to Clipboard option if the Open Directly In Your Email button is not compatible with your email program.
- In cases where a spam filter blocks the email, ask the recipient to check their spam or junk folder, or resend the URL from a different email address.
Quick Tip for Copying the ClientPoint Link
If you need the link to share with a client or prospect quickly, locate the copy/paste icon beside each client’s name. This allows you to copy the link directly to your clipboard without navigating through additional menus.
Sharing ClientPoint links with your clients or prospects is streamlined and flexible, making it easy to provide secure, updated content through a single, ongoing link. By following these steps and best practices, you can ensure your recipients receive and access ClientPoints efficiently.
