How to Set Up Salesforce Field Mapping with ClientPoint

The Salesforce Field Mapping feature integrates Salesforce with ClientPoint to streamline data synchronization. It allows Salesforce administrators to map fields from the Opportunity, Account, or Contact pages in Salesforce directly to custom fields on the Info screen in ClientPoint. This process enhances data flow between the two platforms, ensuring that relevant information is consistent and easily accessible for ClientPoint users.

Overview of the Integration Process

Before beginning the field mapping process, it’s essential to understand how fields are handled in both systems. Standard fields in Salesforce, such as "Amount" or "Client Name," generally have matching fields in ClientPoint. However, custom fields in Salesforce, like "Follow Up Notes," require extra steps because their field API names typically end with the suffix “__c” (e.g., Follow_Up_Notes__c).

To effectively map Salesforce fields to ClientPoint, administrators must first create corresponding custom fields in ClientPoint if they don't already exist. Custom fields in ClientPoint can be added to the Info screen, where relevant Salesforce data will be mapped. If you're dealing with dropdown fields, it’s crucial that the options match in both Salesforce and ClientPoint to avoid any inconsistencies.

Step-by-Step Setup for Field Mapping

  • Identify Correlated Fields: Start by checking whether the fields in Salesforce align with ClientPoint’s default fields. The default fields in ClientPoint include Division, Region, Market, Services Category, Revenue, Client Name, and Assigned To.

  • Create Custom Fields in ClientPoint (if needed):

    • If the fields do not match, log into ClientPoint as an administrator and create the necessary custom fields based on the fields in Salesforce. This ensures the proper fields are available for mapping.

  • Access Salesforce Setup:

    • Sign into Salesforce with an admin account and navigate to Setup.
    • Under Object Manager, locate and choose Opportunity, Account, or Contact (depending on what fields you want to map).

  • Click on Opportunity to view the details.  On Details, to the left, click on "Field and Relationships" to view all field and field name (i.e. field API name).  The same can be done in Account and Contact.

  • Copy Field API Names:

    • Copy the field API names from Salesforce that you want to map into ClientPoint. Be sure to save them for later use in the mapping process.

  • Set Up Field Mapping in ClientPoint:

    • Log into ClientPoint and navigate to Settings > Integrations.

  • On Integrations, scroll down to Salesforce CRM, click "Manage" and choose "Field Mapping".

  • In the CRM Mapping Fields pop-up, you'll see three sections: Standard Fields, Custom Fields, and Recipient Fields.
    • Standard Fields: These are default fields in ClientPoint (e.g., Client Name, Revenue).
    • Custom Fields: These are fields you’ve created in ClientPoint to match Salesforce data.
    • Recipient Fields: These fields allow you to map data from Contacts in Salesforce to fields in the recipient contact form in ClientPoint.

  • Map Fields:

    • For each field, paste the corresponding Salesforce Field API Name into the relevant field in ClientPoint’s CRM Mapping Fields.

  • Click Submit to Save the field API names.

  • Test the Integration:

    • To ensure that the mapping works correctly, open an Opportunity in Salesforce and ensure the mapped fields are filled in.
    • Then, create a new ClientPoint by selecting New under the Details section. Check that the relevant data has been imported correctly into the new ClientPoint.
