Track and manage versions of your ClientPoints using version control available by enabling ClientPoint Finalization. Archive versions can be viewed internally and externally. Sign-able files are executable but no revisions can be made to the files and documents. All archived versions are not editable.
There are no limits to the number of versions you can have within a ClientPoint. All versions can be accessed from the Overview page of the ClientPoint under ClientPoint Versions.
Here is an example of the Overview page showing two archived versions and the current version, version 3.
**
Before a ClientPoint can be archived, first a ClientPoint is created.
Here are the high level steps to create a ClientPoint:
- Create a ClientPoint
- Populate the ClientPoint with content and information to share
- Generate the ClientPoint link and QR code
- Click “Yes” to confirm that this ClientPoint is the official version sent to the customer. If yes, an archived PDF version will be created in ClientPoint and e-signature will be enabled. If no, this ClientPoint will not be archived and the e-signature will be disabled.
- ClientPoint link and/or QR is shared.
For any revisions or changes that are needed, click to edit the ClientPoint:
- Go to Files in the ClientPoint
- Click “Archive and Duplicate”
- The current version that you are in is archived and a new duplicate version is created.
- Edit the new version created by adding or removing files or using Local Edit to update existing files within the ClientPoint.
- Once all changes are made, generate the ClientPoint link and QR Code
- Click “Yes” to confirm that this ClientPoint is the official version sent to the customer. If yes, an archived PDF version will be created in ClientPoint and e-signature will be enabled. If no, this ClientPoint will not be archived and the e-signature will be disabled.
- ClientPoint link and/or QR is shared.
Local Editing Individual Files within the ClientPoint
Versioning of individual files within your ClientPoint is managed using Local Edit. Local Edit enables users who have access to the ClientPoint to check out and check in updated versions of the file and track a history of the revisions made to the files.
Here is how Local Edit works
- Select a file in your ClientPoint
- Click “Local Edit”
- You’ll be given two options, Edit (Check Out) or Download.
- To update the file, click “Edit (Check Out)”
- A copy of the file will be saved locally on your computer
- Open the file (ie. docx, pptx, etc.) and make any necessary changes
- Click “Select Edited File” to upload the file back into ClientPoint
- Enter notes on the changes that were made and check “Check In”
- File is updated in ClientPoint, file versioning is saved.
