ClientPoint makes redlining and revisions easier for your internal team, as well as your clients.
Redlining a file (Internally):
- Local Edit: If multiple team members of your team are working on the same document within a ClientPoint, they can make revisions to what's written by using the Local Edit functionality. From the ClientPoint files area select the document and select Local Edit.
- If a File is Checked Out: If a file has been checked out by a User (User 1) and they are currently working on it, the file will show an indicator that says 'Checked Out' and no one else (User 2) will be able to modify it until it is checked back in or if they cancel the Check Out.
Note: As an Admin, you can overwrite a file if it is Checked Out. - Version Control: Once the file has been checked back in by User 1, they will then be able to view an updated version and will be able to download it versus the original document.
If User 2 downloads Version 1 and Checks it back in, the system will show the updated version count and file in the Check Out area.
Redlining a file (Externally/By a Customer):
- To share a file with a customer for them to redline it, create a New ClientPoint, and ensure that in the Info section, the toggle called 'Enter Password for Microsoft Track Changes' is turned on under the Recipient Viewer Options.
Note: In case you don't see this option, please contact your Client Success Coordinator or support@clientpoint.net - Once a password has been set, you can click on Save & Continue to work on the ClientPoint. Please ensure not to share the password with your customer. This is to ensure that they can't unlock Track Changes in MS Word.
- In the Files Section, once the file has been added, go to Edit > Downloadable so the customer is able to download the original MS Word version of the file.
- Once the customer receives the file, they will be able to download it and track the changes (redline).
- Once the redlining is done, the customer will save the file. They will then re-upload the file back into the ClientPoint or email it back to you.
- Once you have received the file, you will go inside the ClientPoint > Print > Client Uploads. You can then download the file to view the red lining to either accept or reject the changes proposed by your customer.
