ClientPoint streamlines the process of redlining and revising documents for both your internal team and external clients. This guide explains the functionalities available for internal edits, external collaboration, and efficient version control.
Internal Redlining: Collaborating Within Your Team
1. Local Edit for Team Collaboration
When multiple team members are working on a document:
- Navigate to the Files area within a ClientPoint.
- Select the document you want to revise and choose the Local Edit option.
- This allows team members to make immediate revisions directly within the platform.
2. Checked-Out Files
- If a file is currently being worked on by a user (User 1), it will display a Checked Out indicator.
- Other users (User 2) will be restricted from modifying the file until it is checked back in or the check-out is canceled.
- Admin Override: Administrators have the ability to overwrite a checked-out file if necessary.
Note: As an Admin, you can overwrite a file if it is Checked Out.
3. Version Control for Enhanced Tracking
- After User 1 checks a file back in, an updated version is created. This allows users to download the revised version while retaining access to the original.
If User 2 downloads Version 1, makes updates, and checks it back in, the system will automatically update the version count and reflect the new file in the check-out area.
External Redlining: Collaborating with Customers
1. Prepare the File for Customer Redlining
- Create a new ClientPoint.
- In the Info section, ensure the toggle "Enter Password for Microsoft Track Changes" under Recipient Viewer Options is turned on.
- Note: If this option is unavailable, contact your Client Success Coordinator or email support@clientpoint.net for assistance.
2. Configure Security
- Set a password to lock the Track Changes feature in Microsoft Word.
- Important: Do not share the password with the customer to ensure they cannot unlock the feature.
3. Enable Customer Access
- In the Files section:
- Add the file.
- Go to Edit > Downloadable to allow the customer to download the original MS Word version.
4. Customer Workflow
- The customer downloads the file, applies their tracked changes (redlines), and saves the revised document.
- They then upload the updated file back into the ClientPoint or send it to you via email.
5. Review Customer Changes
- To review the customer’s redlines:
- Open the ClientPoint.
- Go to Print > Client Uploads and download the revised file.
- Review the tracked changes and accept or reject them as necessary.
